  • Computer proficiency including Microsoft Office applications and Zoom 
  • Is thoughtful about interacting with people from all backgrounds 

AREAS OF RESPONSIBILITY: 

  • Provide general office management: telephone/reception coverage for the Foundation office, general clerical support, including typing, filing, correspondence, faxing, and mailings 
  • Manage Donor Snap Database: update information, enter donations, prepare collateral materials for deposit, prepare and print donor request or acknowledgement letters in a timely fashion, learn database enhancements and apply as needed 
  • Prepare Foundation deposits 
  • Prepare online donations/purchases to submit to bookkeeper 
  • Prepare Square statements to submit to bookkeeper 
  • Code and submit invoices to bookkeeper 
  • Code Credit Card and attach receipts 
  • Download statements from Investment Accounts 
  • Process Estoppel requests, communicate rush fees, verify monies are received, follow-up to close requests 
  • Act as Liaison to the Board…prepare agendas, attend board meetings and take minutes and Board reports 
  • Update information for Celebration Foundation website 
  • Assist with audit preparation 
  • Prepare weekly reports from Donor Snap for the Executive Director 
  • Provide direct support to Executive Director 
  • Maintain all inventory and supplies in office 

PREFERRED QUALIFICATIONS: 

  • Bachelor’s degree or some college 
  • Commitment to team building approach
